Please review these terms carefully before booking your journey with AK Roadtrippers. By reserving a cab, you acknowledge and agree to the guidelines set forth below.
1. Booking Process & Confirmation
AK Roadtrippers provides localized taxi hire, round-trip outstation travel, airport transfers, and customized vacation tour packages across Madurai, Tamil Nadu, Kerala, Pondicherry, and Karnataka.
- Booking Channels: Reservations may be confirmed via our official WhatsApp desk, telephone dispatch line, or online booking enquiry.
- Driver Assignment: Driver details (name, mobile phone number, vehicle registration plate, and vehicle model) are dispatched to the customer via SMS/WhatsApp approximately 2 hours prior to scheduled departure.
- Advance Deposit: For long-distance outstation travel and peak holiday seasons, an advance booking token may be requested to guarantee vehicle reservation.
2. Tariffs, Tolls, Parking & Driver Bata
We believe in 100% transparent pricing with zero surprise charges. Fare breakdowns are clearly communicated at the time of quotation:
Kilometer Calculation
Kilometer readings commence from our Madurai garage/office to the customer pickup point and conclude back upon vehicle return for round trips.
Driver Daily Allowance (Bata)
A nominal driver allowance applies for outstation multi-day trips and overnight journeys (between 10:00 PM and 6:00 AM).
Tolls & Parking Fees
Highway toll plazas, airport parking, temple/monument parking tickets are paid as actuals based on official receipts generated during the journey.
Interstate Permits
When crossing state borders into Kerala, Karnataka, or Pondicherry, official state border transport permits and taxes are charged on actuals.
3. Cancellation, Rescheduling & Refund Policy
We understand travel schedules can shift unexpectedly. We offer honest, flexible cancellation terms:
Cancellations made 12 hours or more prior to the scheduled pickup time receive a full refund of any advance token paid.
Cancellations within 4 to 12 hours of pickup incur a nominal dispatch fee to cover driver allocation costs.
Date or timing modifications can be adjusted free of charge subject to vehicle availability when notified at least 6 hours in advance.
4. Passenger Conduct & Zero-Tolerance Safety Rules
To guarantee safe, dignified travel for families, solo travelers, and our driving staff:
- Zero Substance Policy: Smoking, alcohol consumption, and possession of illicit substances are strictly prohibited inside all AK Roadtrippers vehicles at all times.
- Driver Respect & Co-operation: Drivers are strictly instructed to adhere to statutory speed limits (especially on ghat roads like Kodaikanal, Munnar, Valparai). Passengers may not compel drivers to overspeed or violate traffic laws.
- Vehicle Care: Any deliberate damage to car interiors, upholstery, or infotainment systems will be billed to the passenger.
5. Luggage Capacity & Lost Property Procedure
Each vehicle class has a rated passenger and boot luggage capacity (e.g., Sedan: 4 passengers + 2 large bags; Innova/Crysta: 6-7 passengers + 4 bags). Overloading beyond legal RTO vehicle limits is not permitted.
Lost & Found: While passengers are responsible for their personal possessions, items inadvertently left behind in cabs are promptly handed over to our Madurai office (7A Sai City Extension, Keelapanangadi). Call our 24/7 hotline immediately if you misplaced any belongings.
6. Vehicle Replacement Guarantee
All AK Roadtrippers vehicles undergo routine mechanical, tire, and AC service checks. In the rare event of an unexpected mechanical breakdown or flat tire during transit, we commit to arranging an immediate replacement cab or authorized repair without unreasonable delay.
7. Force Majeure & Unforeseen Events
AK Roadtrippers shall not be held liable for itinerary disruptions caused by factors beyond reasonable operational control, including severe weather, landslides in hill sections, public demonstrations, highway closures, or sudden regional road diversions.
8. Governing Law, Jurisdiction & Support
These terms are governed by the laws of India. Any legal disputes arising out of service agreements shall fall under the exclusive jurisdiction of the competent courts in Madurai, Tamil Nadu.
